Part-Time to Full-Time Transfer Information

Congratulations on your transfer to a Regular Full-Time position! Shortly after you accept your new position, you will receive an email from a Human Resources representative which will include your transfer letter and details related to your transfer. 

Prior to your transfer date, you are required to do the following:

  1. Read all of the information on this page
  2. Submit a signed copy of your new contract to Human Resources or hrforms@bchsys.org 
  3. Submit your completed Green Shield benefit enrollment or change form
  4. Submit your completed Desjardins Life Insurance application for enrollment

Approximately five (5) days following your transfer date, your updated employee information is available upon request. This information includes your new seniority date and vacation entitlement. You can request that information here. 

Transfer information

 Health and Dental Benefits

Health and dental benefits are provided by Green Shield. Enrollment in benefits are optional however, if you chose not to enroll upon transfer your options to enroll in the future are limited. Please see the links below which provides information about the cost of benefits, the types and amounts of coverage and who may be eligible for coverage under your plan. Benefits are effective the first of the month following your date of transfer.

Whether you are interested in coverage or not, you must complete the Green Shield enrollment form. 

  • Coverage Information (indicate "N" for No if you do not wish to enroll)
  • Dependent Information (if you are applying for family level coverage)
  • Authorization

Please return no later than your date of transfer to hrforms@bchsys.org. 

 Life Insurance & Accidental Death & Dismemberment Benefits

Life Insurance and Accidental Dealth and Dismemberment benefits are provided by Desjardins. This benefit is mandatory for all regular full-time employees and paid for 100% by the hospital. Benefits are effective the first of the month following your date of transfer and are both valued at 2x your annual salary.

Beneficiaries:

  • You are able to assign a primary and contingent beneficiary. A contingent beneficiary would be eligible for the benefit payment if your primary beneficiary were unable to accept the payment. You may also assign multiple primary or contingent beneficiaries to split the benefit. If any of your beneficiaries are under 18, you must also assign a trustee. 

Please complete the Desijardins Enrollment form

  • Section A: Identification
  • Section E: Designation of Beneficiaries
  • Section F: Signature of Employee

Completion of the enrollment form is mandatory for full-time employees, and the original signed copy must be returned to Human Resources. 

Seniority

As a part-time employee, seniority is measured by hours worked. When you transfer to full-time, the seniority hours you worked are translated into a Seniority Date. Seniority reflects the time spent within your particular employee group. Seniority is used as a measurement tool for processes such as vacation requests and selecting successful applicants during the recruitment process. Seniority reports are completed on a bi-annual basis, and are located on the Common Drive for unionized employees. 

Service

As a part-time employee your service is measured by hours worked. When you transfer to full-time, the service hours you worked are translated into a Service Date, otherwise known as an Adjusted Hire Date. Service reflects the total time spent working at the Brant Community Healthcare System. Service is used as a measurement tool for processes such as vacation progression, and progression through the short term disability plan. 

 Salary Progression

As a part-time employee your salary progression is also measured by hours worked. Salary step increases are received when you achieve a certain milestone of hours. The milestone hours for step progression differs by employee/union group.

When you transfer to regular full-time, your salary review hours are then translated into a Salary Review Date providing you are transferring to the same job class and are not at the maximum of your salary range.

If you are transferring to a new job class, your Salary Review Date equals one year from your date of transfer. 

 

 Vacation Entitlement

As a part-time employee you have been receiving a percentage in lieu of vacation. Annually in approximately May, you receive a lump sum payment of this percentage in lieu. Any percentage in lieu that you have accumulated since the last lump sum payment will be paid to you on the pay date of the pay period in which you transfer. 

You will also begin to see an accumulation of hours on your bi-weekly pay record. Your annual entitlement to vacation is driven by your Service Date as noted above and also your union group's collective agreement or non-union policy.

Disability Benefits 

As a part-time employee, you would not have been eligible for any disability benefits. This means that if you were off work due to illness, you would not have been paid. As a regular full-time employee, you are eligible for participation in the Hospitals of Ontario Disability Income Plan (HOODIP) which provides for both short term and long term disability benefits. 

  • HOODIP sick pay benefit
  • HOODIP long-term disability benefit

For short term disability such as incidental days off due to illness you will now be paid between 66 & 2/3% to a possible 100% of your earnings depending on your service with the BCHS for a duration of up to 15 weeks. 

You may be eligible for long term disability benefits if you are required to be off work for more than 30 weeks. The level of this benefit is also driven by your service with the organization. Hospital of Ontario Pension Plan

The Hospital of Ontario Pension Plan (HOOPP) is mandatory for all regular full-time employees. If you are not already enrolled in HOOPP, you will be enrolled upon your date of transfer. If you are already enrolled, your transfer date to full-time will be communicated to HOOPP.

Your contributions will be deducted each pay period directly from your gross pay. For every $1 that you contribute, your employer currentely contributes $1.26 to the HOOPP Fund. Visit the HOOPP website for more information about contribution rates. 

All contributions are invested in the HOOPP Fund. The monthly pension you will receive in retirement is determined using a formula that is based on your earnings and ho wmuch contributory service you have built in the Plan. For more details, please visit the HOOPP website.
